About the role

Key responsibilities & impact
  • Provide comprehensive administrative support and office management for Patient Insights & Engagement and Global Medical Proficiency & External Affairs
  • Exercise professional judgment in managing the office and confidential information
  • Manage calendars by arranging meetings and logistics
  • Provide accurate domestic and international travel support
  • Manage communications and office record retention
  • Direct high-volume inquiries and matters to appropriate company parties
  • Generate correspondence
  • Proactively manage priorities and independently resolve scheduling conflicts
  • Partner with internal and external global stakeholders and Support Staff
  • Coordinate meetings, teleconferences/MS Teams meetings, and offsite meetings/events
  • Support the use of Team Sites
  • Interact effectively with company executives and internal/external clients on-site and remotely
  • Coordinate special projects within the division or area
  • Complete assignments requiring analytical ability, independent judgment, creativity, and problem-solving

Requirements

What you’ll need
  • High School Diploma or equivalent (GED)
  • Minimum of 8 years Administrative Assistant experience
  • Minimum of 3 years Executive administrative experience supporting senior executives (Sr. Director, Executive Director, AVP or above)
  • Advanced computer skills using Microsoft Office suite (MS Outlook, Word, Excel, Power Point) and other internal systems
  • SAP / CONCUR experience processing expense reports, purchase orders, payment requests, and vendor add forms, and running reports within SAP
  • Experience scheduling complex multi-leg domestic and international travel
  • Experience with financial and budget tasks
  • Demonstrated experience processing Visas/Passports
  • Advanced secretarial/clerical abilities with a history of high performance
  • Documented experience as a strong performer in current and past positions
  • Ability to handle and prioritize a large number of simultaneous assignments
  • Extraordinary attention to detail
  • Outstanding communication and people skills
  • Strong organizational project management and problem-solving skills
  • Preferred: experience with event planning and coordination
  • Preferred: demonstrated interest in leveraging AI-powered tools and emerging technologies
  • No visa sponsorship
  • Valid driving license is not required
