About the role

Key responsibilities & impact
  • Provide advanced administrative and organizational support to the Head of U.S. Engineering Hub
  • Coordinate projects and lead distribution of information
  • Schedule and coordinate large workshops, meetings, and travel arrangements
  • Support special projects
  • Create presentation materials and prepare reports/spreadsheets
  • Provide administrative support to various committees
  • Ensure assigned floor has necessary site services and local support
  • Liaise with IS/IT for conference room technical support resolution
  • Maintain Hub organizational calendars and key milestone trackers
  • Maintain organizational charts, distribution lists, SharePoint, and stakeholder communication channels
  • Publish meeting materials, standards, announcements, and newsletters
  • Support Hub Finance with budget tracking, cost-center administration, purchase requests, and invoice processing
  • Assist with timekeeping, reporting, and workforce administration
  • Coordinate Town Halls and employee status changes
  • Prepare data for monthly operating reviews and annual budgeting cycles

Requirements

What you’ll need
  • High School Diploma or equivalent
  • 5+ years professional experience in an Administrative Support role or equivalent
  • This position is not eligible for Visa Sponsorship
