About the role

Key responsibilities & impact
  • Keep the Vancouver office running smoothly
  • Support the Trade Commissioner, Consul General, and wider Canada team
  • Oversee facilities, suppliers, health and safety, security, IT team support, events, and visits
  • Manage payroll, accounts payable, reconciliations, budgeting, reporting, expense management support, and audit requirements
  • Coordinate with external providers and regional and New Zealand-based Finance and People teams
  • Support New Zealanders travelling or living in Canada, including in difficult or distressing circumstances
  • Manage consular enquiries and cases confidentially
  • Support emergency responses
  • Contribute to official visits, commemorations, and New Zealand election activity
  • Coordinate with the Ministry of Foreign Affairs and Trade and other government partners

Requirements

What you’ll need
  • Experience in office management, business operations, or another varied role
  • Confidence managing payroll, accounts payable, reconciliations, budgets, reporting, and audit requirements
  • Ability to manage sensitive information confidentially
  • Ability to support people in distress with empathy and compassion
  • Ability to manage multiple stakeholders, competing priorities, locations, and time zones
  • Existing authorisation to work in Canada
  • Must be able to work 3–4 days per week in the Vancouver office
  • Curiosity about AI and willingness to use practical AI solutions
  • Cover letter describing interest and suitability
