About the role

Key responsibilities & impact
  • Answer multi-line telephones and operate/troubleshoot photocopiers, office equipment, and computer ordering systems
  • Secure, sort, open, and distribute forms, mail, communications, office supplies, and equipment
  • Provide backup coverage for support staff and complete special projects
  • Coordinate and maintain efficient office operations
  • Maintain accurate scheduling systems and patient scheduling reports
  • Train and orient appropriate office staff on front-office responsibilities
  • Inventory and reorder equipment, supplies, and floor stock items
  • Obtain insurance information, check patient eligibility, update demographics, and process patient payments
  • Perform end-of-day reconciliation and correct billing errors using programs including BOS
  • Gather and process forms for authorization of visits, tests, labs, and procedures
  • Obtain appropriate consent for care and authorization to obtain or release information
  • Prepare and distribute departmental communications and maintain distribution lists
  • Communicate with providers and staff regarding scheduling concerns and consult clinic leadership about system problems
  • Maintain confidentiality, document and communicate needed actions to management, and support compliance and safety requirements
  • Provide prompt, courteous patient service and de-escalate concerns from callers and patients

Requirements

What you’ll need
  • High School Diploma or GED - Required
  • Fingerprint Clearance Card application number- Required upon hire
  • Fingerprint Clearance Card- Required within 90 days from date of hire
  • Associate's Degree - Preferred
  • Minimum two years in medical or comparable field - Preferred
  • Minimum two years of customer service experience - Preferred
  • Previous experience with Dimensions, Lawson, Halogen, Midas, Microsoft Office Suite - Preferred
  • Knowledge of legal and ethical considerations related to patient information
  • Must keep required certifications and/or licenses up-to-date and valid prior to expiration dates, if required for the position
  • Must complete company mandatory modules and required job-specific training within the specified timeframe
