About the role

Key responsibilities & impact
  • Manage and optimize the client’s work calendar, including meetings, appointments, and events
  • Coordinate meetings with internal teams, clients, and stakeholders
  • Organize and prioritize daily tasks, meetings, and follow-ups
  • Handle business travel arrangements
  • Manage the client’s emails, phone calls, and professional correspondence
  • Streamline information flow and provide relevant updates and data
  • Prepare meeting materials, including agendas, presentations, and reports
  • Liaise between the client and internal teams
  • Support positive relationships with key stakeholders
  • Provide logistical support for client-facing meetings
  • Coordinate small-scale projects and tasks aligned with strategic goals
  • Research and compile information
  • Track progress, follow up on open tasks, and ensure milestones and deadlines are met
  • Work alongside the executive’s internal teams and external stakeholders
  • Receive guidance and support from an Operations Manager

Requirements

What you’ll need
  • Professional fluency in English, with excellent reading, writing, and speaking abilities
  • At least 5 years in a communication-heavy role at a reputable firm
  • Strong interpersonal and organizational skills
  • Ability to work inclusively with individuals from a variety of backgrounds
  • Ability to work a split shift with some overlap with the client’s time zone
  • Undergraduate degree preferred, not required
  • Relevant work experience valued
  • MBA, CFA, CIM, CIPM, or CIMA certifications considered an added advantage
