About the role
Key responsibilities & impact- Coordinate and provide patient support services
- Answer phones, direct calls, greet patients and visitors
- Register and check in patients
- Update patient demographics and insurance coverage in the computer system
- Maintain patient medical records via EMR or paper charts
- Assist with patient scheduling
- Perform office functions and handle patient payments as applicable
- Take and relay messages or scripted care directions
- Respond to patient and staff inquiries and communicate with referring physician offices
- Perform check-out processes, including co-pay collections and scheduling return visits
- Provide after-visit summaries and ensure follow-up tests are ordered or scheduled where applicable
- Document patient activities
- Monitor patient wait times and notify appropriate staff of excessive waits
- Open and route incoming mail; distribute correspondence, reports, and office supplies
- Mail form letters and track patient information or program data where applicable
- Request and handle referrals and medical records from referring offices
- Schedule appointments when directed
- Maintain the cash drawer, reconcile daily cash, and prepare bank deposits where assigned
- Contact insurance companies and obtain registration or procedural pre-certifications as assigned
- Perform other duties and special projects as assigned
Requirements
What you’ll need- High School diploma or equivalent
- One year of customer service experience
- Skill in problem solving
- Ability to manage multiple priorities
- Ability to convey information both in writing and verbally
- High level of interpersonal skills to handle sensitive and confidential situations
- Exceptional customer service skills
- Ability to perform functions using job-related software and systems
- Ability to travel to other clinical facilities as required to accommodate staffing levels
