About the role
Key responsibilities & impact- Coordinate and provide patient support services
- Answer phones, direct calls, and relay messages or scripted care directions
- Greet patients and visitors
- Register and check in patients
- Update patient demographics and insurance coverage in the computer system
- Maintain patient medical records via EMR or paper charts
- Respond to patient and staff inquiries
- Communicate with referring physician offices
- Perform check-out processes, including co-pay collections, scheduling return visits, providing after-visit summaries, and ensuring follow-up tests are ordered or scheduled
- Monitor patient wait times and notify the appropriate nurse, lead, or manager of excessive waits
- Open and route incoming mail; distribute correspondence, reports, and office supplies
- Mail form letters
- Track and record patient information or program data where applicable
- Request and handle referrals and medical records from referring offices for new patient appointments
- Schedule appointments when directed
- Maintain the cash drawer, reconcile daily cash, and prepare bank deposits where assigned
- Contact insurance companies and obtain registration or procedural pre-certifications as assigned
- Travel to other clinical facilities as needed to accommodate staffing levels
- Perform other duties or special projects as assigned
Requirements
What you’ll need- High School diploma or equivalent
- One year of customer service experience
- Skill in problem solving
- Ability to manage multiple priorities
- Ability to convey information both in writing and verbally
- High level of interpersonal skills to handle sensitive and confidential situations
- Ability to provide exceptional customer service
- Ability to perform functions using job-related software and systems
- Attendance, promptness, professionalism, attention to detail, cooperativeness, and politeness
- Travel may be required to accommodate staffing levels at other clinical facilities
