About the role

Key responsibilities & impact
  • Supervise day-to-day activities of front desk and/or medical record support services personnel and ensure adherence to established procedures and policies
  • Hire, train, supervise, schedule, assign work to, and evaluate staff
  • Maintain payroll and attendance records for supervised employees
  • Serve as the primary subject matter expert for patient services in the clinic
  • Communicate information to clinical staff and assist with escalated and complex patient/customer issues
  • Address physician complaints and issues involving front desk, medical records, administrative workflows, and scheduling
  • Serve as clinic superuser and provide in-service training on patient appointment scheduling and physician schedule changes
  • Support clinic leadership in the manager’s absence
  • Order supplies and equipment
  • Greet, register, and check in patients; update demographics and insurance information
  • Answer patient calls, relay messages or scripted care directions, and respond to patient and staff inquiries
  • Perform checkout processes, including copay collection, return-visit scheduling, after-visit summaries, and follow-up test coordination
  • Monitor patient wait times and notify appropriate personnel of excessive waits
  • Process incoming mail, correspondence, reports, and office supplies
  • Request and handle referrals and medical records
  • Schedule appointments when directed
  • Maintain cash drawer, reconcile cash, and prepare bank deposits where assigned
  • Obtain insurance registration or procedural pre-certifications where assigned
  • Use job-related software and systems
  • Travel to other clinical facilities as needed to accommodate staffing levels
  • Perform other duties and special projects as assigned

Requirements

What you’ll need
  • High school diploma and 3–5 years of experience in a medical office setting, or equivalent combination of education and experience
  • Working knowledge of EMR systems, Word, and Excel
  • Ability to serve as liaison between management and staff
  • Problem-solving skills and ability to manage multiple priorities
  • Ability to convey information in writing and verbally
  • High interpersonal skills for handling sensitive and confidential situations while providing exceptional customer service
  • Demonstrated poise, tact, and diplomacy
  • Independent judgment to plan, prioritize, and organize a diversified workload
  • Associate degree preferred
  • Working knowledge of EPIC preferred
  • Experience in a related specialty practice area preferred
  • Experience in insurance and registration preferred
