About the role
Key responsibilities & impact- Supervise day-to-day activities of front desk and/or medical record support services personnel and ensure adherence to OSUP procedures and policies
- Hire, train, supervise, schedule, assign work to, and evaluate staff
- Maintain payroll and attendance records for supervised employees
- Redirect staff to other operational areas when needed
- Serve as the primary subject matter expert for patient services in the clinic
- Communicate patient-services information to clinical staff
- Advise and assist staff with escalated and complex patient/customer issues
- Address physician complaints and issues involving front desk or medical record operations, administrative workflows, and scheduling
- Provide solutions to physicians and staff
- Serve as clinic superuser and provide in-service training on appointment scheduling and physician schedule changes
- Work with the Capacity Management Office on provider templates when assigned
- Provide leadership support for the clinic in the manager's absence
- Order supplies and equipment
- Greet, register, and check in patients and visitors
- Update patient demographics and insurance coverage in the computer system
- Answer patient calls, relay messages or scripted care directions, respond to inquiries, and communicate with referring physician offices
- Perform checkout processes, including copay collections, return-visit scheduling, after-visit summaries, and follow-up test coordination
- Document checkout and related activities
- Monitor patient wait times and notify appropriate clinic personnel of excessive waits
- Open and route mail; distribute correspondence, reports, and office supplies; mail form letters
- Track and record patient or program information where applicable
- Request and handle referrals and medical records for new patient appointments
- Schedule appointments when directed
- Maintain and reconcile the cash drawer and prepare bank deposits where assigned
- Contact insurance companies and obtain registration or procedural pre-certifications as assigned
- Perform other duties and special projects as assigned
Requirements
What you’ll need- High school diploma and 3–5 years of experience in a medical office setting, or equivalent combination of education and experience
- Working knowledge of EMR systems, Word, and Excel
- Ability to serve as liaison between management and staff
- Problem-solving skills and ability to manage multiple priorities
- Ability to convey information in writing and verbally
- High interpersonal skills for handling sensitive and confidential situations while providing exceptional customer service
- Demonstrated poise, tact, and diplomacy
- Independent judgment to plan, prioritize, and organize a diversified workload
- Preferred: Associate's degree
- Preferred: Working knowledge of EPIC
- Preferred: Experience in a related specialty practice area
- Preferred: Experience in insurance and registration
- Ability to perform functions using job-related software and systems
- Travel may be required to accommodate staffing levels at other clinical facilities
