About the role

Key responsibilities & impact

Make initial contact with newly acquired customers, ensuring the first training session is scheduled.
Coordinate onboarding meetings, ensuring accuracy and a positive customer experience.
Validate customer data and information before training sessions.
Send welcome communications and initial guidance.
Follow up with customers who have not logged in for the first time or did not attend their scheduled session.
Assist customers and internal teams via WhatsApp, Intercom, Slack, and email.
Work alongside the Implementation team, providing operational support for administrative routines.
Perform administrative back-office tasks, including supporting weekly billing, opening opportunities, and recording purchases of additional consulting hours.
Assist with updating and collecting operational data for team capacity and volume reports.
Keep information up to date in internal systems and tools.
Manage consultants’ calendars, send initial communications, and perform back-office routines; this role does not involve conducting technical training or customer setup meetings.

Requirements

What you’ll need

Enjoy interacting with customers, understanding their needs, and proactively resolving conflicts with a sense of urgency.
Ability to manage and prioritize a high daily volume of requests and scheduling activities while working across multiple channels simultaneously (WhatsApp, email, Intercom, and Slack).
Strong attention to detail when organizing and handling large volumes of operational data.
Proficiency in Excel, including pivot tables and lookup and conditional-sum formulas (VLOOKUP, XLOOKUP, SUMIF).
Serve as a key point of contact and support resource for the Implementation Specialists and Sales teams.
Excellent verbal and written communication skills.
Strong time-management skills to maintain continuous follow-up without leaving open items unresolved.
Comfortable working with digital ecosystems, including CRMs, online scheduling tools, and email.
Preferred: Previous experience at B2B SaaS companies, with management software (ERP), financial systems, e-commerce, or technology solutions.
Preferred: Experience in operational support roles within Customer Success, Onboarding, or Implementation.
