About the role
Key responsibilities & impact- Provide day-to-day administrative support, including calendar management, meeting logistics, travel arrangements, expense processing, and office resource coordination
- Prepare, proofread, compile, and maintain documents, presentations, charts, project plans, records, filing systems, and SharePoint content
- Coordinate divisional and team meetings, including agendas, materials, minutes, action items, and follow-up
- Receive, assess, prioritize, and respond to internal and external inquiries, correspondence, and incoming mail
- Escalate matters as appropriate
- Support collaboration with internal and external stakeholders by sharing information and resolving issues
- Assist with onboarding and office operations by ensuring new staff and consultants have required equipment, supplies, access, and information
- Manage competing priorities while meeting deadlines and supporting project or program needs
- Support Directors, Managers, and their teams in the East Region
Requirements
What you’ll need- Completion of a high school or college diploma in administrative studies, business administration, commerce, or a recognized equivalent
- Approximately two years of demonstrated administrative or program support experience
- Experience coordinating tasks, managing information, and supporting a manager, team, or program
- Equivalent combinations of education, training, and experience may be considered
- Ability to work effectively under pressure, exercise sound judgment, and respond professionally to challenging situations
- Strong analytical, research, and problem-solving skills
- Ability to summarize and present information clearly
- Experience providing comprehensive administrative support
- Proficiency with Microsoft Word, Excel, PowerPoint, SharePoint, Teams, and standard office equipment
- Excellent organizational and time management skills
- Strong interpersonal, customer service, and communication skills
- Valid driver’s license and access to a vehicle
- Occasional travel may be required for OH East business
- Bilingualism in English and French is considered an asset
