About the role

Key responsibilities & impact
  • Lead and coordinate initiatives sponsored by the President & Scientific Director
  • Ensure projects are delivered on time, within scope, and aligned with organizational priorities
  • Develop comprehensive project plans covering objectives, milestones, timelines, resources, risks, and performance indicators
  • Monitor project progress and deliverables, identify issues, risks, and dependencies, and implement mitigation strategies
  • Prepare executive-level project updates, briefing materials, reports, presentations, and recommendations
  • Gather, analyze, and synthesize information from multiple sources to facilitate decision-making
  • Coordinate cross-functional teams to ensure alignment, accountability, and timely completion
  • Lead project meetings, working groups, and stakeholder consultations; document requirements, decisions, actions, and follow-up
  • Recommend and lead project-level process improvements
  • Leverage technology and emerging tools, including AI-enabled solutions such as Microsoft Copilot, to improve efficiency
  • May supervise or influence project team members through resource allocation, task delegation, scheduling, and workload prioritization
  • Partner with Finance on project budget management, expense tracking, budget-to-actual reporting, and variance analysis
  • Support the President & Scientific Director in developing and executing initiatives and programs that foster organizational cohesion, collaboration, and partnerships across Ontario

Requirements

What you’ll need
  • Bachelor’s degree in health sciences, health administration, business administration or related field, or recognized equivalent
  • Project management training (e.g., Project Management Professional (PMP), Lean, Agile), or equivalent experience
  • Project management experience in a research, healthcare or academic environment
  • Experience with Microsoft 365 (Outlook, Excel, Word, PowerPoint, SharePoint) and Copilot or similar tools
  • Excellent time management and organization skills and demonstrated ability to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills, including the ability to prepare executive-level materials and presentations
  • Ability to exercise sound judgment, discretion, and professionalism when handling confidential and sensitive matters
  • Proven ability to work independently and collaboratively across diverse teams
  • Commitment to continuous improvement and operational excellence
  • Quality and detail oriented
  • Experience supporting senior leaders and managing cross-functional initiatives involving multiple stakeholder groups
  • Experience coordinating financial, operational, human resources, procurement, and administrative activities in support of organizational initiatives
  • Experience working onsite or remotely and utilizing online communication platforms (Zoom, Teams, Slack, etc.) to work collaboratively on a daily basis
