About the role
Key responsibilities & impact- Coordinate multiple projects from agreement execution to project closure as primary system administrator of CaAwardNet
- Identify and resolve budget, payment, expenditure, and reporting issues
- Work with CaAwardNet users and internal staff to identify bugs and process or system improvements
- Define, document, and test business and functional requirements for CaAwardNet improvements
- Lead connectivity of data elements between CaAwardNet and ReportNet
- Monitor budgets, expenditures, quarterly reports, year-end financial reports, and reconciliations
- Ensure CaAwardNet data aligns with agreements
- Generate quarterly expenditure reports with project status, operational risks, and mitigation plans
- Prepare budget payment schedules and obtain approvals
- Analyze budget activities for decision-making
- Lead quality control of project and program financials throughout the funding lifecycle
- Perform data analysis, visualization, reporting, and archiving
- Ensure alignment of financial language and principles in policies, SOPs, applications, notices, and agreements
- Train Program Managers and Financial Officers on financial data submission and process changes
- Provide headcount analysis for annual KPI reporting
- Provide financial analysis for OICR’s Strategic Plan
- Support secondary performance-data analysis for Executive and Board presentations
- Prepare ad hoc reports for internal and external sites, executives, the Board, and stakeholders
- Provide business analysis, system administration, training, and technical support for CaAwardNet
- Provide first-line help-desk support and maintain training and user documentation
- Serve as secondary system administrator for ReportNet
- Learn other OICR electronic systems to monitor project financial and operational status
- Manage CaAwardNet vendors from requirements creation through testing and implementation
- Contribute to and execute the Research Operations team’s annual operating plan
- Work with vendors on quotations, renewals, SaaS fees, service-level agreements, and issue resolution
Requirements
What you’ll need- Bachelors degree in business management with a specialization in financial data management, or recognized equivalent
- Excellent project management skills and ability to deliver results on time and on budget
- Excellent analytical and problem-solving skills
- High level of accuracy in data collection and validation
- Strong written, verbal, and graphical communication skills
- Excellent organizational and time management skills
- Ability to influence individuals without reporting authority
- Excellent proficiency with Microsoft Office applications, including Excel, Word, and databases, and other spreadsheet-based tools and databases
- Ability to respond quickly and accurately to time-sensitive information requests
- End-to-end project management and business analysis support for system enhancements or new systems, coordinating with technical and non-technical staff and vendors
- Commitment to continuous learning and staying current with best practices, tools, and techniques
- Ability to work effectively in a team without reporting authority and openness to feedback
- Willingness to occasionally work outside normal business hours
