About the role
Key responsibilities & impact- Respond to high-volume employer inquiries regarding wage and hour and civil rights laws
- Direct customers to appropriate resources
- Coordinate logistics for Employer Assistance Division trainings, webinars, seminars, and annual conference
- Process publication orders, seminar registrations, invoices, and payments
- Maintain accurate accounting and tracking systems
- Prepare and format publications, handbooks, marketing materials, and training documents
- Manage division inventory, supply ordering, mailing coordination, and publication print orders
- Serve as primary contact for website updates and related operational needs
- Provide administrative support to the manager
- Compile monthly metrics
- Assist with additional program-support tasks
- Assist with onsite seminar setup, including carrying materials and arranging equipment, tables, and chairs
Requirements
What you’ll need- Three years of secretarial or administrative support experience including coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis
- OR an associate degree in general office occupations and two years of qualifying secretarial or administrative support experience
- OR an equivalent combination of education and experience
- Ability to work onsite a minimum of two days per week in the Portland office
- Experience managing high-volume administrative workflows, including inquiries, orders, invoicing, or event coordination
- Experience producing formatted publications or training materials with accuracy and consistency
- Ability to manage high-volume employer communications with accurate, timely, and professional responses
- Experience coordinating webinars, seminars, and conferences, including logistics, registration, and training material preparation
- Skill in processing orders, managing invoice workflows, resolving payment issues, and maintaining precise tracking and accounting records
- Proficiency in producing and formatting polished publications, handbooks, marketing materials, and training documents
- Exceptional writing abilities, including drafting precise reports, correspondence, and documentation
- Valid U.S. work-authorization documents required; BOLI does not provide visa sponsorship
- Ability to occasionally lift and move boxes up to 50 pounds
- Regular 8:00 a.m. to 5:00 p.m. schedule and consistent attendance
