About the role

Key responsibilities & impact
  • Provide confidential, high-level executive administrative and operational support to the Director’s Office
  • Directly support Deputy Directors and designated executive leadership members
  • Coordinate complex schedules and manage sensitive communications
  • Support executive decision-making processes and effective day-to-day operations of the Director’s Office
  • Collaborate with executive support staff to ensure continuity, quality control, and enterprise-level coordination
  • Manage the Deputy Directors’ and Strategic Initiatives Director’s calendars
  • Prioritize commitments, assignments, and responsibilities based on agency priorities, statutory timelines, executive direction, and organizational needs
  • Handle sensitive, confidential, personnel-related, legislative, and politically sensitive information
  • Track agency initiatives, executive assignments, and organizational priorities
  • Ensure timely completion of deliverables and accountability for outcomes
  • Complete special projects and assignments requested by executive leadership
  • Coordinate and manage follow-up actions from projects, assignments, and meetings
  • Provide front desk coverage at the Public Service Building
  • Work occasional evenings, weekends, and travel as needed to support executive leadership activities

Requirements

What you’ll need
  • One year of experience performing administrative duties in support of agency projects or programs
  • Qualifying experience involving data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience
  • A driver’s license, an acceptable driving record, a personal vehicle, or an alternative means of transportation is required
  • Reliable and secure internet connection for approved remote work
  • Professional work environment supporting productivity while working remotely
  • Must be authorized to work in the United States
  • Visa sponsorship is not offered
  • Cover letter of no more than 2 pages required
  • Current resume required
  • Ability to manage complex executive calendars and prioritize commitments
  • Ability to execute executive assignments, projects, and strategic initiatives
  • Experience preparing presentations, briefing materials, reports, agendas, talking points, and executive communications
  • Experience proofreading and quality-assuring professional documents, presentations, and correspondence
  • Ability to identify urgent, sensitive, or time-sensitive issues and escalate when necessary
  • Experience coordinating across multiple stakeholders and managing relationships with executives, staff, public partners, and governmental entities
