About the role
Key responsibilities & impact- Process and review incoming injury claims, forms, and correspondence to determine lien eligibility
- Enter, maintain, and update information in department case management and database systems
- Prepare, process, and maintain personal injury lien documents, certified copies, legal correspondence, lien releases, and related records
- Ensure compliance with applicable laws, rules, regulations, and agency policies
- Maintain and organize electronic and paper filing systems, case records, and documentation
- Monitor, reconcile, and report lien recoveries, payments, and other financial activity
- Maintain databases, balance records, and produce monthly performance and reconciliation reports
- Respond to inquiries from clients, attorneys, providers, county offices, and staff
- Explain program processes and direct requests to appropriate resources
- Create new cases, image and index documents, process medical refund information, and maintain case tracking across multiple information systems
- Cross-train in program functions and assist with special projects
- Support assault restitution and class action processes as needed
- Contribute to departmental operations and continuous service delivery
Requirements
What you’ll need- Two years of secretarial or basic administrative support experience including records processing, generating documents, and gathering and sorting data; OR
- Associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data; OR
- Equivalent combination of education and experience
- Valid driver’s license and acceptable driving record
- Strong computer skills, including Microsoft Word, Excel, basic data functions, and calculator use
- Excellent interpersonal, communication, research, and organizational skills
- Foundational understanding of legal, medical, and insurance terminology and medical billing
- Experience researching and reviewing complex documents and records, especially legal documents and records
- Experience with administrative duties and strong attention to detail
- Experience communicating effectively with the public and coworkers by telephone and in writing
- Experience organizing and prioritizing work, managing multiple responsibilities, and adapting to changing priorities and interruptions
- Experience establishing priorities, working toward defined goals, and producing accurate, thorough, high-quality work within established timelines
- Required cover letter describing how minimum qualifications and essential attributes are met
- Resume or completed work history profile
- Authorization to work in the United States; ODHS does not offer visa sponsorship
- Successful criminal history and background check
- Must complete the U.S. Department of Homeland Security I-9 form within three days of hire
