About the role
Key responsibilities & impact- Provide project management for the OPCA Education and Technical Assistance work plan
- Track activities, identify gaps, and collaborate with the team to complete program deliverables on time
- Plan and prepare technical assistance and training events, including web-based, hybrid, and face-to-face events
- Provide input and strategy for meetings and events
- Manage and coordinate Program team meetings and processes
- Schedule meetings, draft agendas, assign meeting roles, create team timelines, and track action items
- Support partnerships with state, regional, and national stakeholders
- Schedule and provide administrative support for key meetings
- Develop and distribute program communications
- Coordinate and integrate external communications regarding department work
- Maintain member relations and knowledge management tools
- Support program evaluation, internal documentation, member information tracking, and external communications
- Travel to relevant conferences and meetings
- Manage lists, meeting scheduling, support, and follow-up
- Support related events, including the annual All Leadership Group Gathering
- Set up and manage SharePoint, web portals, and Office 365 groups for membership groups
Requirements
What you’ll need- Generally requires a Bachelor’s degree and/or up to three years’ experience or equivalent education
- Fluency in written and spoken English required
- Ability to utilize backwards planning for events management
- Strong project management skills
- Ability to anticipate needs and manage time effectively
- Ability to prioritize multiple projects, meeting requests, and events simultaneously
- Excellent attention to detail
- Ability to work independently and take initiative
- Ability to make independent, informed decisions
- Strong analytical and problem-solving skills
- Excellent oral and written communication skills
- Demonstrated excellence in internal and external customer service
- Ability to maintain confidentiality
