About the role
Key responsibilities & impact- Manage calendars, prioritize meetings, and coordinate communications across internal departments and external partners
- Screen and respond to calls and emails
- Draft, review, and manage correspondence, memos, and meeting agendas
- Schedule internal and external meetings with agents and external legal teams
- Support the Business Affairs team’s strategic priorities
- Monitor and prioritize incoming requests and ensure timely responses and follow-ups
- Anticipate executive needs and resolve scheduling conflicts or operational bottlenecks
- Update internal deal trackers
- Support the workflow of information to internal and external teams
- Manage key documents for specific projects
- Prepare and review deal documents and obtain signatures
- Research and prepare project materials and charts, including drafting letters
- Maintain organized digital filing systems for contracts and sensitive materials
- Prepare and track expense reports
- Coordinate IT setup and logistics for meetings and team events
- Assist with department initiatives and cross-functional projects
Requirements
What you’ll need- 2+ years of administrative experience supporting senior executives
- Entertainment industry experience strongly preferred
- Proficiency in Microsoft Office Suite and Google Suite
- Familiarity with DocuSign and contract management tools
- Proven ability to manage databases and electronic filing systems
- Bachelor’s degree or equivalent experience preferred
- Fantastic organizational and time-management skills
- Proficient written and verbal communication
- Ability to draft professional correspondence
- High level of discretion and confidentiality
- Ability to multitask and prioritize in a fast-paced environment
