About the role

Key responsibilities & impact
  • Set up and maintain project management plans with Project Leader and Functional Lead input, communicate plans to the wider project team, and support execution
  • Maintain selected information in integrated project management systems and lead data compliance work with other functions
  • Prepare project reports, compliance metrics, operational review materials, client and internal reporting, and project oversight analyses
  • Review selected financial areas, follow up on corrections, and provide reconciliations
  • Coordinate action plans with Project Leaders and Functional Leads and track completion
  • Oversee project team lists, system access, and access reviews; develop and roll out related processes
  • Provide team leadership in defined areas on behalf of the Project Leader
  • Independently update and customize systems, tools, and project plans according to SOPs
  • Support vendor selection, create project-specific training curricula, and review time booking and overconsumption
  • Review pass-through costs, support timely invoicing, and assist with financial closeout
  • Coordinate TMF, site payment, system access management, project resources, insurance, and Letters of Authorization during project initiation
  • Maintain study reporting, systems, tools, TMF compliance, and investigator payment oversight during project execution
  • Support project operational review meetings, present selected areas, and provide reports, metrics, and analysis for decision-making, client reporting, and risk management
  • Prepare for and attend project meetings, report responsibilities, and track action items through completion
  • Collaborate with Project Leaders and Functional Leads to ensure study supplies are delivered according to contract obligations
  • Review vendor invoices and follow up with vendors on invoice questions
  • Drive timely project closeout, including system closure, document archiving, sponsor handover, and financial closeout support
  • Support the Clinical Operations Leader with CTMS compliance, site newsletters, operational reports, site closure tracking, and vendor/query reports
  • Train and mentor new starters in systems and tools and provide subject-matter expertise and process feedback

Requirements

What you’ll need
  • Minimum two years’ experience in a PS II role or in an equivalent role
  • In-depth understanding of how their role integrates with others in the business in accomplishing project deliverables and the objectives of the area
  • Excellent understanding of project management and applicable tools
  • Developed financial understanding
  • Mentoring or training experience
  • Basic understanding of the business and market
  • ICH/GCP knowledge
  • Advanced English level for non-native English speakers
  • Minimum Bachelor’s degree or equivalent degree
  • Excellent interpersonal, verbal and written communication skills
  • Attention to detail and understanding how quality of own work impacts others and the business outcomes
  • Client focused approach to work
