About the role

Key responsibilities & impact
  • Provide high-touch support to Patreon’s CEO & Co-Founder and executive team
  • Proactively manage complex calendars 3-6 months out
  • Partner with Biz Ops to align the CEO’s and executive team’s calendars
  • Maintain and adjust business rhythms as needed
  • Communicate calendar updates and priorities to Rhythm of Business stakeholders
  • Maintain the CEO’s inbox and draft correspondence
  • Procure or create meeting agendas and presentations with the Chief of Staff
  • Attend meetings, take notes, and track action items and deliverables
  • Coordinate Executive Team offsites and events
  • Celebrate Executive Team birthdays, anniversaries and new family member arrivals
  • Coordinate the CEO’s business travel and some personal travel, including bookings and logistics
  • Build and share quarterly/annual travel lookaheads with the CEO’s family office
  • Maintain, organize and code receipts, expenses and reimbursements
  • Create project management processes for cross-functional initiatives
  • Build and maintain scalable systems for the Office of the CEO
  • Coordinate offsite activities, logistics and agendas
  • Coordinate meetings during company planning and annual reviews
  • Support monthly All Hands efforts
  • Handle special projects as needed
  • Coordinate and plan board meetings
  • Plan and support the annual company kickoff

Requirements

What you’ll need
  • 3-5 years EA experience supporting C-level executives in startup or high-growth environments
  • Experience supporting executives in both business and personal capacities
  • Ideally, family office experience or close cross-functional partnership with a personal-side EA
  • San Francisco-based and able to work in-office 3 days per week
  • Extremely organized and detail oriented
  • Sound judgment, confidentiality and professionalism
  • Ability to move quickly without sacrificing efficiency or effectiveness
  • Ability to prioritize shifting demands with a high degree of accuracy and consistent follow up
  • Excellent written and verbal communication skills
  • Strong project management skills; able to build and run systems and processes independently
  • Ability to work autonomously
  • Ability to problem solve
  • Ability to think five steps ahead
  • Ability to create and maintain structure and processes
  • Advanced knowledge of business-related tools including Google Suite, Slack, Notion, and AI tools
  • Strong AI fluency and demonstrated ability to leverage AI to improve productivity
