About the role

Key responsibilities & impact
  • Serve as the primary point of contact for incoming customer calls and inquiries
  • Manage high-volume phone and email communication with clients
  • Schedule service appointments and coordinate technician calendars
  • Dispatch crews and communicate schedule updates throughout the day
  • Create, update, and maintain work orders
  • Track project and service status to ensure timely completion
  • Communicate proactively with customers regarding scheduling, delays, and service updates
  • Support administrative functions including data entry, document management, and reporting
  • Collaborate closely with field crews and leadership to ensure seamless operations
  • Identify inefficiencies and help develop new processes, workflows, and best practices
  • Maintain accurate records and ensure exceptional customer service at every touchpoint

Requirements

What you’ll need
  • 3+ years of experience in administrative, office coordination, dispatching, scheduling, or customer service role
  • Experience supporting service-based industries such as landscaping, irrigation, construction, home services, HVAC, plumbing, electrical, or similar environments preferred
  • Strong ability to multitask and prioritize in a fast-paced setting
  • Exceptional communication and customer service skills
  • Highly organized with strong attention to detail
  • Comfortable managing multiple moving pieces simultaneously
  • Self-starter who works effectively with minimal supervision
  • Process-minded individual who enjoys creating structure and improving efficiency
  • Proficiency with Microsoft Office, Google Workspace, and business software systems
  • Must be located within a one-hour drive of Kenmore, Washington
