About the role
Key responsibilities & impact- Set up and maintain projects in Project Farma’s PSA platform, including budgets, staffing plans, milestones, and timelines
- Monitor timesheets, project financials, and utilization data; flag discrepancies before billing or reporting impact
- Maintain PSA reporting and dashboards for project status, regional performance, and portfolio reviews
- Serve as first point of contact for Project Managers on PSA questions and train new Project Managers
- Prepare monthly client accruals with Project Managers and Finance
- Create draft invoices for Project Manager review and client submission
- Coordinate project meetings, agendas, minutes, action items, documentation, filing, and deliverable tracking
- Prepare and distribute project status reports, client-ready materials, and internal updates
- Support project close-out administration, financial reconciliation, and lessons-learned capture
- Support Regional Managers with reporting, staffing, scheduling, and consolidated project updates
- Coordinate onboarding logistics for new Project Managers and consultants
- Track regional utilization, billability, and project health metrics
- Assist with proposal formatting, templates, version control, staffing plans, rate tables, and submission logistics
- Provide backup Salesforce entry and update support
- Perform other project, regional, or administrative duties as designated
- Manage workload across multiple projects and Project Managers within the assigned region
Requirements
What you’ll need- Bachelor’s degree in business administration, operations, or a related field, or equivalent combination of education and experience
- 2+ years of experience in project coordination, project administration, or regional/administrative support
- Experience in professional services, consulting, or life sciences environment ideally
- Experience supporting multiple managers or project teams concurrently across a distributed or multi-region structure preferred
- Working knowledge of PSA software; Kantata preferred, or comparable platforms such as Mavenlink, Certinia, Deltek, or Smartsheet
- Proficiency in Microsoft Office, particularly Excel and PowerPoint
- Familiarity with Salesforce or comparable CRM for backup support
- Strong organizational skills and ability to prioritize across multiple projects and managers without close supervision
- Clear written and verbal communication, including with clients
- Discretion handling confidential project, client, and financial information
- Ability to work independently in a remote, matrixed environment spanning multiple states and time zones
- Must be authorized to work in the United States on a full-time basis
- No current or future work visa sponsorship
- Must have a valid driver’s license
