About the role

Key responsibilities & impact
  • Run the weekly fee-refund upload for won or ineligible IDR cases, matching remit amounts against received bricks and escalating discrepancies to Finance
  • Serve as the primary contact for Client Success refund inquiries, tracking missing or delayed refunds using Metabase and the dispute status tool
  • Build and maintain relationships with Independent Dispute Resolution Entities to expedite outstanding refunds owed to practices
  • Drive communications between Client Success, IDREs, Business Operations, and Accounting
  • Establish and drive new processes to meet evolving business and customer needs
  • Maintain and improve Payor Compliance SOPs as workflows evolve
  • Identify patterns in payment and refund exceptions that indicate systemic issues and escalate them
  • Identify platform errors where lost disputes are marked as wins and escalate them to Engineering with supporting evidence
  • Reconcile payments and refunds, identify structural payment blockers, and support payment processing through the manual intervention queue

Requirements

What you’ll need
  • 2–3 years of experience in healthcare operations, revenue cycle, managed care, or a related field
  • Comfort working directly in data using Metabase, BigQuery, or similar tools; basic SQL is a plus
  • Strong written communication
  • Detail-oriented and thorough
  • Ability to manage a high-volume weekly refund cycle and multiple open payment exceptions
  • Comfort working in Excel, Google Sheets, Metabase, or BigQuery
  • Analytical ability to evaluate claim and payor data, identify root causes, and determine next steps
  • Strong data-entry accuracy and detail-heavy matching-based reconciliation skills
  • Familiarity with the No Surprises Act, federal IDR process, or health insurance payor/TPA structures is extra credit
  • Comfort working with payment and remittance data, including 835 remits, is extra credit
  • Experience with Asana, Notion, Metabase, or similar workflow and reporting tools is extra credit
  • Background in revenue cycle payment posting, refund reconciliation, 835 remittance processing, accounting, bookkeeping, or accounts payable/receivable is extra credit
  • Must be authorized to work in the United States without current or future employer sponsorship
