About the role

Key responsibilities & impact
  • Schedule and reschedule client sessions across several calendars
  • Set up virtual sessions, including breakout rooms, co-hosts, and recording
  • Maintain the master delivery schedule
  • Coordinate access to client systems and client IT
  • Track client purchases and delivered services
  • Update the client-facing platform and manage participant reminders
  • Monitor client support email and route questions
  • Prepare weekly delivery meeting agendas, take notes, and track follow-ups

  • Manage logistics for the annual offsite
  • Prepare new-hire accounts, systems, and information
  • Prepare offer letters, contractor agreements, and NDAs and track completed paperwork
  • Handle offboarding and remove system access
  • Assist with benefits questions and annual open enrollment
  • Coordinate interviews and maintain the applicant tracking system
  • Respond to candidates and close recruitment loops
  • Potentially conduct candidate screens and first-round interviews
  • Administer Google Workspace, video conferencing, meeting recording, password management, and AI software licenses
  • Manage shared drive access and organization
  • Review software subscriptions and handle business license renewals
  • Handle physical mail
  • Manage the central inbox and route requests
  • Take ownership of unassigned projects and requests through completion

Requirements

What you’ll need
  • 2 to 5 years of experience in operations, people operations, executive support, business administration, or a similar role
  • Experience at a company with fewer than 100 people is a plus
  • Exceptional attention to detail
  • Good judgment
  • Strong follow-through
  • Comfort with technology and using AI as part of professional work
  • Clear written communication
  • Full-time, remote, US-based
  • Indianapolis area preferred, but not required
