About the role

Key responsibilities & impact
  • Manage the regional meetings, sponsorships, advocacy conferences, and patient-family conferences portfolio
  • Maintain a reliable source of truth for status, spend, deadlines, and deliverables
  • Track budgets, forecasting, reconciliation, performance, and variances
  • Manage sponsorship registration and processing, including deadlines, payments, deliverables, and entitlements
  • Coordinate field and leadership attendance, materials, giveaways, kits, and regional faculty or speaker logistics
  • Own fulfillment center operations for two brands, including vendor performance, inventory, ordering portal updates, replenishment, and asset retirement
  • Partner with Field Sales, Field Medical, and Patient Advocacy to anticipate needs and deliver materials and information on time
  • Maintain accurate regional KOL engagement information
  • Manage venue, booth/table-top, print/signage vendors and event logistics
  • Coordinate shipping, setup, dismantle, and post-meeting reconciliation
  • Manage overlapping event deadlines and report status, risks, blockers, and required decisions
  • Execute sponsorships and HCP-facing programs with Legal/Compliance under the PhRMA Code, Sunshine Act/Open Payments, and fair-market-value principles

Requirements

What you’ll need
  • 4+ years of experience supporting or managing regional meetings, sponsorships, field-facing events, or similar programs
  • Experience in life sciences, biotech, healthcare, or another regulated environment preferred
  • Ability to manage a high volume of concurrent commitments without losing track of deadlines, deliverables, or spend
  • Experience tracking event or sponsorship budgets, including forecasting, reconciliation, and variance identification
  • Experience managing vendors and holding partners accountable for timelines, deliverables, and quality
  • Experience supporting field-facing teams
  • Strong spreadsheet, tracking, and reporting discipline
  • Clear, proactive communication across functions and early risk escalation
  • Highly organized and calm under pressure, with ownership and judgment to solve problems
  • Working knowledge of the PhRMA Code, Sunshine Act/Open Payments, and fair-market-value principles is a plus
  • Willingness to travel to designated regional meetings
  • Comfort with screen work, basic hand coordination, focus, regular computer/device use, and occasional movement
