About the role

Key responsibilities & impact
  • Own the congress portfolio and lead planning and execution for medical and scientific congresses, including AAN, AES, EEC, and MDS
  • Establish objectives, plans, owners, timelines, and success measures for meetings in the US and abroad
  • Maintain the integrated congress calendar and critical-path milestones across abstracts, exhibits, housing, registration, freight, and print
  • Align stakeholders on decisions and dependencies and escalate conflicts early
  • Manage and develop the Meeting Planner, setting priorities, ownership, and execution standards
  • Build redundancy and onsite coverage for critical congresses
  • Lead relationships with meeting management, exhibit/booth, A/V and production, freight, and housing/registration vendors
  • Set vendor expectations and checkpoints, enforce lead times, hold vendors accountable, and track spend against plan
  • Oversee onsite staffing, materials, production, logistics, and real-time troubleshooting
  • Support speaker engagement logistics, including travel, honoraria, and contracts, with Medical Affairs and Legal/Compliance
  • Capture performance, stakeholder feedback, and lessons learned to improve future events
  • Execute congress activities in accordance with applicable requirements, including the PhRMA Code, Sunshine Act/Open Payments, and fair-market-value requirements

Requirements

What you’ll need
  • 8+ years of experience leading events or congresses in life sciences, biotech, healthcare, or a similarly regulated environment
  • Direct experience with large-scale medical or scientific congresses
  • Demonstrated people-management experience, or clear readiness to lead and develop a direct report
  • Proven ownership of congress budgets and third-party vendors
  • Exceptional planning and organizational skills
  • Strong judgment and ownership
  • Clear, direct communication across functions, geographies, and time zones
  • Ability to adapt quickly as priorities change while maintaining quality and execution
  • Knowledge of relevant industry compliance requirements is a plus
  • Willingness to travel domestically and internationally around the congress calendar
  • Comfort with regular computer, device, and office-equipment use; clear communication; occasional movement; screen work; basic hand coordination; and sustained focus
