About the role

Key responsibilities & impact
  • Perform day-to-day administrative duties as requested by management
  • Assist various departments on site and in the Corporate Office, including payroll, accounting, and human resources
  • Deliver optimal customer service that fosters positive relationships
  • Assist with delivering department initiatives
  • Prepare work orders and estimates, including labour and supplies
  • Accurately enter and track work orders and equipment in databases
  • Ensure timely closure of work orders and invoice submission
  • Organize, maintain, and update document and electronic filing systems
  • Retrieve and systemize information
  • Provide administrative support to management and Master Mechanic
  • Prepare for meetings and produce meeting documents as needed
  • Answer incoming telephone calls professionally and redirect calls appropriately
  • Pick up, deliver, and prepare outgoing correspondence
  • Coordinate and log courier mail pickup and delivery
  • Perform timekeeping and payroll duties for facility staff
  • Establish an organized, professional, and friendly atmosphere for customers and staff
  • Perform other duties as required by management

Requirements

What you’ll need
  • Post-secondary education and/or High School Diploma with progressive relative experience
  • A minimum of 5 years of related service and administrative experience
  • Knowledge of heavy equipment machinery and parts would be considered an asset
  • Excellent verbal and written communication skills
  • Skilled in the use of MS Office (Word, Excel, Outlook, PowerPoint)
  • Time entry experience preferred
  • Must be able to work under pressure, to multi-task, and meet deadlines
  • Possess strong organizational skills
  • Organized and self-motivated
