About the role
Key responsibilities & impact- Assist in tracking incoming and outgoing customer equipment for yard listing
- Track the progress of work orders during repair to update status changes and maintain accurate WIP reporting
- Prepare WIP reporting
- Open and revise new work orders/segments as required
- Review Work Orders to ensure accuracy before completion
- Enter Daily Work Journals into system and update Work Order List
- Create and submit weekly payroll reports to HR
- Create and submit Employee Change Forms, as required
- Manage vacation calendar for Acheson office and shop employees
- Enter scope of work for estimate drafts from RMI’s
- Prepare estimate drafts as required
- Assist Shop Foreman with maintenance of work orders in progress to ensure timely closure
- Book third-party field calls, follow up to ensure completion, enter vendor invoices into work orders, and act as point of contact
- Manage CVIP’s, CERT’s, and Mechanical Inspection, including advising respective sites of pending expirations
- Book appointments for expiring units
- Update records in Fleet Management System and equipment files in network drive
- Order coffee and supplies bi-weekly
- Assist with maintaining lunchroom cleanliness
- Provide back-up coverage for Poplar Creek Administrator
- Perform other duties as required by management
Requirements
What you’ll need- High school diploma, or an acceptable combination of education and experience
- Strong organizational and communication skills
- Skilled in the use of MS Office (Word, Excel, Outlook, PowerPoint) and internet-based programs
- Basic knowledge of accounting practices preferred
- General understanding of mechanical/technical terms considered an asset
