About the role

Key responsibilities & impact
  • Manage administrative workflows for new patient referrals
  • Build accurate patient records and support outbound appointment reminders
  • Answer incoming patient phone calls and route requests to providers
  • Coordinate scheduling changes and ensure a smooth virtual front-desk experience
  • Serve as first-line support for the internal clinic helpdesk
  • Triage and escalate issues to the Operations team
  • Maintain accurate schedules, update systems, and keep providers informed of changes
  • Assist with billing administration, including gathering information, updating records, and routing issues to the billing team
  • Maintain data accuracy across EMRs, trackers, and internal tools
  • Identify process gaps and operational issues for escalation or improvement

Requirements

What you’ll need
  • 0–2 years of experience in operations, administrative support, customer service, or healthcare-related roles
  • Located in or willing to work Eastern Time Zone
  • Strong organizational skills and attention to detail
  • Ability to juggle multiple tasks
  • Problem-solving orientation and sound judgment
  • Comfort with ambiguity, change, and the scrappy nature of an early-stage company
  • Genuine interest in behavioral health and supporting patient care
  • Spanish-language proficiency is a plus
