About the role

Key responsibilities & impact
  • Provide high-level administrative, communication, and project-management support to senior leaders in the clinical and clinical trial/program group
  • Manage complex, fluid calendars and proactively resolve conflicts
  • Stay informed of key topics and priorities across the team
  • Coordinate logistics for conferences, investor meetings, and industry events
  • Work under the supervision of the Director of Executive Operations, Office of the CEO
  • Manage sensitive matters confidentially and discreetly
  • Coordinate complex domestic and international travel, including passport and visa research and detailed itineraries
  • Prioritize conflicting needs and complete projects under deadline pressure
  • Coordinate meeting logistics, conference rooms, remote participant access, catering, and meeting materials
  • Interface regularly with high-profile professionals on behalf of the team
  • Respond to emails, texts, and phone calls outside normal business hours
  • Track, prepare, and submit expenses, invoices, and purchase orders
  • Assist with personal requests and perform other assigned administrative tasks

Requirements

What you’ll need
  • Bachelor’s degree preferred (not required)
  • Minimum of 8–10 years’ experience supporting senior-level executives, preferably in the R&D/Pharmaceutical/Biotech, Finance/Investment, or start-up industry
  • Experience in a fast-paced, high-pressure environment
  • Experience with Concur is a plus
  • Proactive, positive, energetic, and enthusiastic personality with a can-do attitude
  • Alignment with company values and ability to foster a positive culture
  • Flexible and resilient, with eagerness to learn and receptiveness to constructive feedback
  • Team-oriented with a collaborative approach
