About the role

Key responsibilities & impact
  • Deliver assigned medical affairs projects from initiation through final closeout
  • Plan, coordinate, and manage project budgets, routing, approvals, and launch of deliverables
  • Manage projects including slide decks, print projects, congress materials, advisory board materials, scientific communications, and smaller digital initiatives
  • Serve as a main point of contact across internal and external teams
  • Communicate expectations to internal teams and vendors
  • Partner with agency teams to meet milestones and keep projects on track
  • Plan, schedule, and monitor work against timeline, budget, quality, and relevant guidelines
  • Collaborate with finance and accounting on revenue recognition and invoicing
  • Participate in client and stakeholder meetings and provide project updates
  • Perform risk planning and mitigation
  • Help create service or departmental standard operating procedures
  • Route deliverables for review and signoff through the electronic project routing system
  • Ensure signoff at core team, medical/scientific, client review, vendor handoff, and final release milestones
  • Develop work plans, schedules, and status reports
  • Lead projects day to day, define scope and objectives, and coordinate cross-functional teams
  • Coordinate deliverables from concept through delivery and manage reviews, approvals, and handoffs
  • Support agency process adherence and manage quality assurance

Requirements

What you’ll need
  • 3+ years of Project/Program Management or relevant experience
  • 2+ years of experience in budget management
  • Working familiarity with medical, legal, regulatory, and client review processes
  • Background in medical affairs, scientific communications, medical education, or related non-promotional healthcare communications projects
  • Track record of leading small- to medium-scale projects from conception through completion
  • Experience working cross-functionally with medical/scientific, editorial, account, creative, and project management partners
  • Proficiency in creating timelines and tracking progress against schedules
  • Clear and concise communication with technical and non-technical teams across multiple business areas
  • Excellent written, verbal, presentation, and interpersonal skills
  • Adaptability, resilience, proactive and resourceful approach, strong prioritization skills
  • Highly organized self-starter able to work independently and manage tight deadlines
  • Primarily work Eastern business hours
