About the role
Key responsibilities & impact- Track project deliverables to ensure on-time completion of tasks
- Coordinate day-to-day activity and administration of projects
- Provide customer service and reporting support to projects
- Facilitate on-site conference call meetings with clients as necessary
- Research information and documentation for management and/or client requests
- Develop charts and information graphs for reports, training materials, and other documents
- Coordinate all project activities associated with assigned projects
- Develop and update monthly contract status sheets
- Perform data entry and manage program information in databases
- Perform administrative QA/QC duties per program requirements
- Develop project plans considering timeline, resources, and budget
- Edit and produce PowerPoint presentations, training materials, and technical documents
- Maintain project databases
- Track, compile, and process paperwork and prepare monthly invoicing
- Review and assign billing codes to invoices
- Track project expenses and produce expense reports
- Draft and submit invoices directly to clients
- Respond to client information requests and administrative questions
- Coordinate mailing and shipping of project materials and packages
- Manage project equipment assets and maintenance
- Perform other assigned duties
Requirements
What you’ll need- 2 years of college or equivalent
- Valid California driver’s license with acceptable driving record
- Minimum required level of automobile insurance
- Three years of experience in a professional office environment
- Two years of providing administrative support
- Two years of experience in coordinating projects
- Successful completion of a comprehensive background check and reference check
- Pre-employment drug screen may be required, if applicable to the position
