About the role

Key responsibilities & impact
  • Provides administrative and operational support to OISS professional staff and international students and scholars
  • Manages budgeting, accounting, and office workflow functions
  • Serves as the lead front-line contact for routine walk-in and phone inquiries, referring complex issues to higher-level staff
  • Establishes priorities and identifies and resolves administrative issues on behalf of the department head
  • Researches and writes background information for meetings
  • Participates in meetings on the supervisor's behalf as needed
  • Oversees complex conferences, seminars, and events
  • Composes presentation, conference, and report documents, including research, editing, and fact-checking
  • Creates complex reports and spreadsheets and makes recommendations based on reports
  • Processes financial transactions, monitors and reconciles budgets, and resolves discrepancies
  • Assists with capital or special equipment requests and vendor selection
  • Manages procurement-related issues and processing
  • Coordinates office moves and routine remodeling and renovation projects
  • Analyzes materials and extracts pertinent information for briefings
  • Guides and trains student workers, including scheduling and workload assignment
  • Answers phones, schedules appointments, and responds to visitor inquiries
  • Assists with orientation of newly arrived students and scholars and provides preliminary immigration guidance and procedural information
  • Exercises judgment regarding emergencies or critical issues involving international students and scholars
  • Coordinates administrative, compliance, and office support functions with the other International Department Coordinator
  • Inputs, tracks, and monitors records in ISSM visa management system
  • Performs other duties as assigned

Requirements

What you’ll need
  • Associate's degree
  • 3 years of related experience in an office setting as an administrative assistant
  • Advanced computer skills and demonstrated experience with office software and email applications
  • Proven success in following through on and completing projects
  • Excellent organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Excellent customer service and interpersonal skills
  • Ability to prioritize, multitask, and assign work to others
  • Ability to take initiative and ownership of projects
  • Ability to routinely and independently exercise sound judgment when making decisions
  • Additional related education may substitute for experience on an equivalent year-for-year basis
  • Preferred: Experience in an academic or research environment
  • Preferred: Experience working with foreign nationals in a college or university setting
  • Preferred: Experience working in an international or intercultural environment
  • Preferred: Ability to speak a foreign language fluently
  • Preferred: Proficiency in Microsoft Office software and other database programs
