About the role

Key responsibilities & impact
  • Support senior leaders within the Civil Space organization
  • Proactively manage priorities to ensure leaders are supported in a balanced manner
  • Manage complex executive schedules and calendars, including resolving conflicts across a global organization
  • Manage executive email and alert priority actions
  • Coordinate meetings across organizational stakeholders and administrative staff
  • Communicate with executives, customers, and employees while maintaining a professional presence
  • Safeguard confidential and sensitive information
  • Represent the Civil Space team with professionalism and responsiveness
  • Prepare agendas, briefings, correspondence, PowerPoints, spreadsheets, supplies, and meals for meetings and events
  • Arrange domestic and international business travel
  • Process expense reports and invoices
  • Coordinate virtual and face-to-face meetings and team events, including logistics, technology, catering, and recording
  • Support information flow and distribution across the department
  • Attend staff meetings and all-hands meetings, record and distribute notes, capture action items, and execute assigned tasks
  • Maintain organized and accurate documentation, distribution lists, shared files, Teams channels, organizational charts, and websites
  • Order supplies and perform administrative, clerical, and ad hoc tasks
  • Support onboarding and personnel exit processes
  • Support Windsor Locks, CT and Rockford, IL, including occasional travel between sites
  • Travel approximately 10%

Requirements

What you’ll need
  • Typically requires an AA/AS degree (or other 2-year post-high-school training) with a minimum of 6 years relevant experience
  • 5+ years of administrative, executive support, or program coordination experience, preferably in aerospace/defense or a complex manufacturing environment
  • Experience supporting senior leaders and high-visibility customer/executive visits
  • Demonstrated success organizing and coordinating complex schedules, managing multiple priorities, and adapting to frequent last-minute changes
  • Experience using Microsoft Office, PowerPoint, Excel, Teams, Outlook, and SharePoint
  • Experience coordinating site tours, agendas, visitor access, conference rooms, AV, catering, signage, and other logistics
  • U.S. citizenship is required
  • Experience coordinating NASA, government, prime contractor, or other customer engagements preferred
  • Ability to manage meeting cadence, action trackers, KPIs, presentations, and leadership materials
