About the role
Key responsibilities & impact- Provide outstanding administrative support to one or several department professionals, board members, division heads, officers, or managers
- Represent the Firm in a professional and positive manner
- Act as an extension of the Leader when dealing with colleagues and clients
- Maintain email, written, phone, and fax communications while the Leader is traveling
- Prepare reports, meeting minutes, correspondence, documents, spreadsheets, and presentations
- Manage schedules, appointments, itineraries, meeting calendars, preparation materials, and follow-up
- Coordinate meetings, travel, conference calls, and expense reports
- Answer and transfer telephone calls and take accurate messages
- Organize and prioritize multiple tasks under strict time constraints
- Manage daily correspondence, filing, incoming mail, and client documentation delivery
- Perform office administrative tasks at the direction of the PIC
- Handle and safeguard confidential and sensitive information
- Identify and improve internal processes and help develop Firm policies
- Review and edit client-related documentation
- Maintain client and administrative filing procedures
- Remain knowledgeable of business unit and corporate policies
- Assist with other projects as needed
- Perform advanced tasks under minimal supervision and other duties as assigned
- May mentor and train less-experienced team members
Requirements
What you’ll need- High school diploma
- 5+ years of experience acting as the Assistant to the practice management tier of a firm
- Strong grammatical and proofreading skill
- Extensive experience dealing with contacts of a sensitive, complex, and confidential nature
- Advanced skills in Microsoft® Word, Excel, Access, PowerPoint, Outlook, and Internet navigation and research
- Valid driver’s license required
- Notary Public preferred
