About the role

Key responsibilities & impact
  • Support sophisticated civil defense matters pending in state and federal courts
  • Create, edit, format and finalize correspondence, memoranda, discovery, pleadings, motions, briefs and other legal documents
  • File and serve legal documents in all Texas courts
  • Communicate with courts, opposing counsel, clients and vendors
  • Process vendor invoices and prepare check requests
  • Prepare expense reimbursement forms
  • Maintain attorney calendars and schedule court appearances, depositions, meetings and deadlines
  • Open new files and ensure proper indexing and filing of original legal documents and electronic files
  • Assist attorneys in preparing for trials, including organizing exhibits, coordinating witness schedules and drafting trial-related documents
  • Make travel arrangements and appointments for attorneys and coordinate meetings and depositions
  • Enter billable time entries into the firm's timekeeping system accurately and promptly
  • Work collaboratively in a fast-paced team environment, assisting attorneys and supporting colleagues as needed
  • Perform general administrative duties including filing, photocopying, scanning, managing office supplies and answering phones

Requirements

What you’ll need
  • Minimum 2 years’ experience as a legal assistant or secretary in a civil litigation setting
  • Experience with TX State and Federal court procedures and rules
  • Strong understanding of civil litigation procedures, court rules, and legal terminology
  • Excellent organizational and time-management skills with the ability to prioritize tasks and work efficiently under pressure
  • Meticulous attention to detail and accuracy in drafting, editing and proofreading legal documents
  • Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, Windows Applications, Internet search engines and electronic court filing and service applications
  • Ability to maintain confidentiality
  • Interpersonal skills necessary in order to communicate and follow instructions effectively
  • Independent judgment required to plan, prioritize and organize diversified workload
