About the role
Key responsibilities & impact- Provide cross-coverage administrative support across the Patient Support Program
- Process safety data, fulfillments/reviews, communications, field staff support, reports, data cleanup, meetings, filing systems, and general administrative duties
- Enter and process program data accurately in database systems
- Manage inbound faxes and email communications
- Handle email, phone, fax, incoming mail, and outgoing mail
- Prepare and send program letters and materials
- Order office supplies and maintain inventory
- Report Adverse Events and Severe Adverse Events according to approved SOPs
- Complete timesheets, expenses, mileage, and CRM report validation within required timelines
- Review program documentation for completeness and consistency
- Perform additional administrative duties assigned by the manager
- Provide high-quality service to internal and external clients
Requirements
What you’ll need- Grade 12 education combined with 2 years of community college, secretarial and/or equivalent work-related experience providing office administration services
- Bilingualism (English and French) is required
- Experience working with Patient Support Programs is an asset
- Excellent verbal and written communication, listening, and customer service skills
- Accurate data entry into paper and electronic forms
- Ability to learn quickly, adapt, and multitask in a fast-paced, changing environment
- High proficiency with information technology, Microsoft Office suite, phone systems, and databases
- Typing skills and ability to use various computer-based programs
- Strong organizational skills and ability to manage changing priorities
- Ability to work independently with minimal supervision
- Ability to maintain confidentiality when handling patient data and information
- Ability to work collaboratively in a team environment
