About the role

Key responsibilities & impact
  • Own the conference calendar and manage timelines, budgets, and vendor relationships from planning through post-event wrap-up.
  • Source and negotiate with vendors for booth activations, swag, signage, and lead capture activities.
  • Manage event-specific budgets, track spending, and proactively flag variances.
  • Represent Sidecar Health at conferences and sponsorship events, managing booth setup, staffing coordination, and day-of logistics.
  • Process booth-captured leads, build and maintain RSM outreach toolkits, and track follow-up through conversion.
  • Manage sponsorship deliverables including gifting, signage, and sponsor relationship follow-up.
  • Maintain and update the broker collateral library.
  • Support email marketing, marketing automation platforms, and light social/content activities.
  • Coordinate with Sales/RSMs, the CMO’s office, and outside vendors; maintain Jira/SharePoint project tracking.
  • Build repeatable event playbooks and vendor specification libraries.

Requirements

What you’ll need
  • 3+ years of experience in event planning/coordination or marketing coordination, ideally in B2B, healthcare, or insurance/broker-facing marketing.
  • Proven vendor negotiation experience, including independently managing budgets and vendor relationships.
  • Comfortable traveling to and running events on-site; able to manage high-pressure, fast-turnaround logistics calmly.
  • Strong written communication skills; comfortable drafting broker- and RSM-facing communications and adapting tone across channels.
  • Basic insurance/broker-channel literacy is a plus; familiarity with broker/carrier relationships and compliance or filing considerations.
  • Organized self-starter able to manage multiple concurrent events and marketing deliverables without close supervision.
  • Experience with lead capture tools, CRM/pipeline handoff, marketing automation platforms, and project tracking tools such as Jira and SharePoint is a plus.
  • Candidates must reside in GA, OH, TX, or FL.
