About the role
Key responsibilities & impact- Provide administrative support to the Philanthropic Partnerships division, including new fund openings and case follow-up
- Coordinate Lunch and Learns and off-site visits with professional advisors
- Maintain professional advisor contacts and development lead lists
- Provide frontline email and phone support to prospective donors, current donors and clients, and professional advisors
- Respond to or route inquiries, share marketing materials, and log and update development proposals in Salesforce
- Support grant entries and recommendations, donor mailing lists, physical mailings, fund statements, and inactive fund outreach
- Assist with donor engagement cases and prepare weekly and monthly fund reports
- Research prospective donors and professional advisors and develop concise profiles
- Support digitization projects, including fund folders
- Provide donor/client database reports and analyses
- Create and maintain dashboards tracking outcomes and progress across the division
- Support software platforms including iWave, Kindsight, RedPepper, and Power BI
- Maintain database updates, customizations, and password resets
- Provide portal training and troubleshooting to donors, clients, and partners
- Provide administrative, logistical, and budget support for the annual Conference on Charitable Giving
- Coordinate sponsorship revenue and materials, speaker information, biographies, expenses, and receipts
- Support conferences, events, sponsorship attendance, budget reporting, development lists, and campaign information
- Assist in designing and implementing meetings and webinars
- Promote and monitor event attendance and lead event list management
- Participate in cross-department collaborations and foundation-wide special projects
- Guide, train, and support others regarding systems, technologies, procedures, and processes
- Perform other related duties as assigned
Requirements
What you’ll need- At least three years of relevant administrative experience
- Professional and personal alignment with Silicon Valley Community Foundation’s mission and values
- Interest in expanding knowledge in the evolving landscape of philanthropy
- Excellent written and oral communication, presentation, and listening skills for diverse audiences
- Excellent interpersonal skills and ability to work in a team environment and with diverse groups of people
- Commitment to customer service excellence and discretion with highly sensitive and confidential data
- Ability to multi-task and meet deadlines within designated timeframes
- Resourcefulness in setting priorities, strong organizational skills, and exceptional attention to detail
- Ability to work independently and in a fast-paced, highly collaborative environment
- Openness to learning new frameworks and thinking critically about improving existing methods or approaches
- Strong software skills in Microsoft Office Suite, specifically Excel
- Experience working with Salesforce NPSP CRM and NetSuite and/or ability to learn
- All SVCF team members must be based and hold residency in California
- Ability to provide proof of work eligibility in the United States without sponsorship
