About the role
Key responsibilities & impact- Manage comprehensive office administration and respond to employee requests
- Manage domestic and international correspondence and shipments
- Coordinate business travel, including transport, accommodation, travel documentation, and booking changes
- Place office orders, manage stock levels, liaise with suppliers, and ensure timely deliveries
- Coordinate logistics for company events and team outings, including reservations, catering, guest handling, and settlements
- Maintain and archive documents in DMS, perform data entry, handle administrative contracts, and track deadlines
- Participate in administrative projects through cross-functional collaboration and status reporting
- Contribute to improving operational processes
- Support events and equipment for teams in the UK, Cyprus, and Germany as the role evolves
Requirements
What you’ll need- Experience in administrative or office operations (required)
- Strong organizational skills and ability to manage multiple tasks and priorities simultaneously
- Independence, proactivity, and ability to think ahead without waiting for instructions
- Attention to detail and reliability when handling documentation, contracts, and data
- Very good command of Polish (required)
- English at C1 level
- Eligibility to work in Poland
- Availability to work in a hybrid model, 2–3 days per week from the Cracow office
