About the role

Key responsibilities & impact
  • Maintain accurate and organized financial records
  • Reconcile bank, credit card, and other financial accounts
  • Categorize transactions and maintain the chart of accounts in QuickBooks or similar software
  • Maintain customer and vendor records
  • Track accounts payable and accounts receivable
  • Review invoices, track bill payments, and follow up on outstanding items
  • Identify missing information, unusual transactions, discrepancies, and errors
  • Manage daily bookkeeping activities across accounting, payroll, billing, reporting, and spreadsheet platforms
  • Troubleshoot basic software and data-entry issues
  • Process payroll or support the payroll process, including hours, contractor payments, deadlines, deductions, and reporting
  • Prepare monthly, quarterly, and annual financial reports for leadership
  • Prepare financial records and statements for CPA and tax review
  • Organize documentation for tax filings, audits, and CPA requests
  • Track expenses against budgets and flag variances
  • Monitor upcoming bills, recurring expenses, contractor payments, and payroll obligations
  • Maintain short-term cash flow forecasts
  • Alert leadership to cash flow, spending, and payment-timing concerns
  • Provide updates on financial trends affecting the business
  • Identify financial issues early and communicate discrepancies to leadership
  • Complete responsibilities independently and meet deadlines
  • Recommend improvements to bookkeeping processes and financial workflows

Requirements

What you’ll need
  • 3+ years of professional bookkeeping experience
  • Strong knowledge and practical understanding of GAAP standards
  • CPA-certified
  • Hands-on experience with QuickBooks or similar accounting software
  • Experience using QuickBooks Workforce Premium/Elite, particularly for payroll and billable-hours invoicing
  • Strong understanding of bookkeeping principles and account reconciliation
  • Experience with accounts payable and accounts receivable
  • Experience processing or supporting payroll
  • Ability to prepare organized financial records for CPA, tax, or audit review
  • Comfortable using financial platforms, spreadsheets, and online business tools
  • Ability to work independently and manage deadlines with minimal supervision
  • Strong attention to detail and ability to identify errors and inconsistencies
  • Strong written communication skills
  • High level of confidentiality, professionalism, and integrity
  • Intermediate proficiency in Microsoft Excel or Google Sheets
  • Preferred: experience supporting a U.S.-based small or service-based business
  • Preferred: previous experience working remotely with U.S. or international teams
  • Preferred: experience with recurring billing, contractor payments, or service agreements
  • Preferred: familiarity with budgeting, forecasting, and cash flow tracking
  • Preferred: experience documenting bookkeeping processes or creating SOPs
