About the role

Key responsibilities & impact
  • Coordinate the daily operation of offices in Hungary, Croatia and Slovenia.
  • Manage relationships with landlords, facility management companies and external service providers.
  • Organize office maintenance, repairs and workplace improvements.
  • Coordinate office equipment and supplies.
  • Manage the company vehicle fleet leased through external leasing partners.
  • Coordinate vehicle ordering, deliveries, maintenance, insurance, repairs and returns.
  • Maintain relationships with leasing providers and service partners.
  • Coordinate procurement of laptops, mobile phones and other workplace equipment.
  • Maintain inventory of company IT assets.
  • Liaise between local users and Group IT.
  • Coordinate resolution of hardware, software and workplace technology issues.
  • Support employee onboarding and offboarding through timely equipment delivery and collection.
  • Create and manage Purchase Orders within the corporate procurement system.
  • Coordinate supplier quotations and purchasing activities.
  • Follow up on deliveries and supplier performance.
  • Ensure purchasing processes comply with company policies.
  • Coordinate maintenance contracts and preventive maintenance activities.
  • Organize fire safety, occupational health and safety, and mandatory inspections.
  • Support operational aspects of tender preparation and execution.
  • Maintain documentation required by local regulations and company standards.
  • Collaborate with Finance, HR, Commercial, Logistics and Group functions.
  • Coordinate operational projects across the West Cluster.
  • Identify opportunities to improve processes and increase operational efficiency.
  • Serve as a trusted operational partner for colleagues across three countries.

Requirements

What you’ll need
  • Bachelor's degree or equivalent experience.
  • At least 3 years of experience in operations, office management, facilities, procurement or administration.
  • Excellent organizational and coordination skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong problem-solving mindset and attention to detail.
  • Experience working with ERP or Purchase Order systems.
  • Good command of Microsoft Office, particularly Excel and Outlook.
  • A customer-oriented attitude and excellent communication skills.
  • Native Hungarian and fluent English (written and spoken) – mandatory.
  • Croatian and/or Slovenian language skills are a strong advantage.
  • Position based in Budapest, with regular planned travel to offices in Croatia and Slovenia.
