About the role
Key responsibilities & impact- Coordinate purchase requests and purchase orders from initial request through delivery and closeout
- Obtain and compare supplier quotes based on pricing, availability, lead times, freight, and business requirements
- Confirm specifications, quantities, delivery requirements, and project or cost-center information with internal stakeholders
- Communicate with suppliers regarding pricing, order confirmations, availability, lead times, shipment status, and delivery schedules
- Track open purchase orders and expedite critical materials to support project and operational timelines
- Identify and escalate shortages, backorders, supplier delays, and other purchasing risks
- Maintain accurate vendor, purchasing, order, receiving, shipment, and material tracking records
- Coordinate receipt of equipment, materials, components, and supplies across facilities, project sites, customer locations, and other designated locations
- Verify incoming deliveries against purchase orders, packing slips, shipping documentation, and internal records
- Resolve discrepancies involving quantities, incorrect items, damaged shipments, missing materials, or incomplete documentation
- Coordinate with vendors, carriers, site personnel, and internal teams to resolve delivery or receiving issues
- Provide visibility into open purchase orders, expected deliveries, backorders, received materials, and outstanding issues
- Support inventory and asset tracking, including reconciliation of physical materials against system records
- Support purchase order and invoice reconciliation, including three-way matching and verification of quantities, pricing, freight, and charges
- Partner with Finance/Accounts Payable and internal requestors to resolve invoice, coding, or documentation discrepancies
- Coordinate across Operations, Engineering, Deployment, Project Management, Logistics, Finance, and external suppliers
- Identify opportunities to improve procurement, receiving, tracking, reconciliation, workflows, procedures, trackers, and reporting tools
- Support scalable procurement and receiving processes as SBRA's operations and project portfolio grow
Requirements
What you’ll need- 5+ years of experience in procurement, purchasing, receiving, materials coordination, inventory, logistics, supply chain, or a related operational function
- Experience creating, processing, or tracking purchase orders and coordinating directly with suppliers or vendors
- Working knowledge of receiving processes, including reconciling deliveries against purchase orders and shipping documentation
- Experience tracking orders, lead times, deliveries, and resolving purchasing or receiving discrepancies
- Proficiency with Microsoft Excel, including sorting, filtering, lookups, pivot tables, and maintaining detailed tracking spreadsheets
- Experience working with ERP, procurement, purchasing, inventory, or supply chain management systems
- Strong attention to detail and commitment to maintaining accurate records
- Strong organizational and time-management skills with the ability to manage multiple orders, vendors, deadlines, and priorities simultaneously
- Effective written and verbal communication skills with the ability to coordinate across internal teams and external suppliers
- Ability to identify issues, investigate discrepancies, and drive timely resolution
- Comfortable working independently in a dynamic, fast-paced environment where priorities and processes may evolve
- Experience supporting procurement or materials coordination within robotics, automation, technology hardware, construction, manufacturing, engineering, field deployment, or another equipment-intensive environment preferred
- Experience coordinating materials, equipment, or components across multiple locations or project sites preferred
- Familiarity with RFQs, supplier quote comparisons, order expediting, and basic supplier performance tracking preferred
- Experience with purchase-to-pay processes, three-way matching, invoice reconciliation, or Accounts Payable coordination preferred
- Experience with inventory, asset, equipment, or serialized component tracking preferred
- Familiarity with returns, RMAs, warranty claims, or supplier corrective actions preferred
- Associate's or bachelor's degree in Supply Chain Management, Business, Operations, Logistics, or a related field preferred; equivalent relevant professional experience will also be considered
