About the role

Key responsibilities & impact
  • Perform lease administration functions to ensure real estate financial obligations are met and lease terms are in compliance
  • Develop new processes and procedures for the Lease Administration team with the supervisor/manager
  • Lead special projects and department initiatives
  • Serve as point person for landlords and respond to questions and inquiries
  • Draft lease documents, correspondence, and notices to landlords
  • Review and analyze leases and related documents and provide recommendations to Real Estate leadership
  • Interpret lease language and advise field operations management on contractual rights and duties
  • Audit invoices, statements, lease amendments, landlord correspondence, and related internal and external data
  • Determine credits due for excess prepaid expense reimbursements
  • Negotiate expense reductions and reconcile accounts with property managers or landlords
  • Process lease-related documents for signature, track execution status, and distribute completed originals
  • Abstract and upload lease documents in CoStar and maintain contract data integrity
  • Manage CoStar landlord and lease vendor records, including payment and tax-reporting information
  • Respond to requests for COIs, SNDAs, Estoppels, and other tenant documents
  • Prepare and process monthly rent charges and payment requests
  • Process rent abatements and security-deposit, overpaid-rent, or repair-cost refunds
  • Generate and distribute real-estate reports
  • Collaborate with Real Estate, Accounting, and Strategic Business/Transformation leadership and subsidiaries
  • Perform other duties as assigned

Requirements

What you’ll need
  • Bachelor’s degree in business, accounting, real estate, or similar field
  • 3 to 5 years of commercial real estate, lease administration and/or paralegal experience
  • PeopleSoft and/or CoStar experience preferred (or comparable experience)
  • Highly proficient computer skills, particularly Microsoft Office package
  • Advanced understanding of complex real estate lease terminology
  • Excellent organization skills and high level of attention to detail and accuracy
  • Ability to work independently, think critically and demonstrate ownership of job tasks
  • Superior interpersonal skills, negotiating skills and problem-solving ability
  • Excellent verbal/written communication skills
  • Strong team player with ability to interact with all levels of staff within the company
  • Notary preferred
  • Must be able to work in a corporate office setting
