Key responsibilities & impact
  • Provide administrative support to High Voltage department leadership and project teams
  • Maintain project files, correspondence, contracts, drawings, and documentation
  • Prepare reports, presentations, agendas, and meeting minutes
  • Manage calendars, appointments, and scheduling
  • Coordinate travel arrangements and meeting logistics
  • Assist with project startup, closeout, and general project administration
  • Track milestones, deadlines, submittals, RFIs, and change orders
  • Maintain project logs and support document distribution and control
  • Assist with project handoffs between business development, preconstruction, and operations
  • Assist with purchase order creation, tracking, and filing
  • Coordinate equipment and material deliveries with vendors and project teams
  • Maintain vendor records and track lead times
  • Assist with invoice processing, budget tracking, and cost reporting
  • Compile project data for management reporting
  • Serve as a point of contact for internal departments, clients, vendors, and field personnel
  • Coordinate communications and prepare customer correspondence and project updates
  • Enter and maintain data in project management, ERP, CRM, and document management systems
  • Generate reports and dashboards and maintain accurate department databases

Requirements

What you’ll need
  • Must be legally authorized to work in the U.S. without requiring employer sponsorship now or in the future
  • Highly organized and detail-oriented
  • Capable of managing multiple priorities in a fast-paced construction environment
