About the role
Key responsibilities & impact- Oversee daily fleet operations across multiple U.S. markets
- Maintain accurate records of company vehicles, assigned drivers, locations, and vehicle status
- Coordinate vehicle assignments, transfers, replacements, returns, acquisition, and disposal
- Monitor vehicle utilization and coordinate vehicle availability for new hires, transfers, and market expansion
- Establish and maintain consistent fleet management procedures
- Coordinate preventive maintenance, inspections, repairs, service providers, and repair approvals
- Track maintenance schedules, mileage, service history, vehicle condition, and downtime
- Identify recurring maintenance concerns and recommend cost-effective solutions
- Maintain registrations, inspections, insurance records, claims, accident reporting, and required documentation
- Verify driver eligibility and documentation with Human Resources
- Monitor compliance with company vehicle policies and applicable regulations
- Coordinate vehicle recovery and reassignment following employee separations
- Track incidents, damages, policy concerns, and escalate safety or compliance issues
- Manage fleet vendors and review invoices, maintenance expenses, fuel costs, mileage, utilization, and repair trends
- Assist with fleet budgeting, expense forecasting, cost reporting, vendor evaluations, negotiations, and agreements
- Maintain fleet records and provide reports on inventory, assignments, maintenance, expenses, and utilization
- Coordinate with Field Operations, Human Resources, Onboarding, Finance, and leadership
- Identify operational risks and support fleet planning as SpartanX expands into additional markets
Requirements
What you’ll need- Previous experience in fleet management, fleet operations, transportation management, or a related role
- Experience managing vehicles across multiple locations or geographic markets
- Strong understanding of vehicle maintenance, repair coordination, and preventive maintenance programs
- Experience managing vendor relationships and controlling fleet expenses
- Knowledge of vehicle registrations, insurance coordination, and fleet compliance requirements
- Strong organizational and problem-solving skills
- Ability to manage multiple priorities and deadlines independently
- Experience with fleet management software, tracking systems, and reporting tools
- Proficiency with Microsoft Excel and other business applications
- Strong communication skills and ability to coordinate across multiple departments
- Ability to work effectively in a fast-paced, growing organization
- Experience managing fleets for construction, solar, utilities, telecommunications, or other field-service organizations
- Experience with vehicle acquisition, leasing, and disposal
- Familiarity with GPS tracking, telematics, and fuel management systems
- Experience supporting a geographically distributed workforce
- Experience developing fleet policies and cost-control procedures
- Primarily Monday–Friday, with occasional after-hours or weekend availability based on operational needs
