About the role

Key responsibilities & impact
  • Process Letters of Transmittal and other legal documentation submitted via mail and email
  • Complete data entry within required SLAs and maintain system-of-record integrity
  • Interact with security holders by phone and email regarding account-packet deficiencies
  • Create payment files to meet daily payment deadlines
  • Process returned payments and stop-check requests
  • Take ownership of individual transactions and answer questions from security holders and coworkers
  • Track document-retention requirements and implement compliant disposal procedures under FINRA standards
  • Identify and implement process improvements to enhance customer experience, exceed SLAs, and improve efficiency
  • Maintain a flexible schedule based on deal speed and client needs, including occasional evening or weekend hours
  • Rotate into daily payment processing, including submitting payment files to bank partners and researching returned or delayed payments

Requirements

What you’ll need
  • 1–4 years of experience in operations, financial services, or other documentation-heavy roles
  • Comfort working with large volumes of data and handling sensitive information
  • High attention to detail
  • Ability to work collaboratively and build relationships across the organization
  • Strong written communication skills, especially for stakeholder correspondence and internal handoffs
  • Self-motivation and ability to manage time effectively
  • Microsoft Excel proficiency
  • Standard business hours availability, plus occasional night/weekend work
  • Must be legally authorized to work in the United States without current or future visa sponsorship
  • Familiarity with NetSuite, Adobe, and document workflows is a plus
