Key responsibilities & impact
  • Provides routine administrative support to the department by maintaining documents, files, and policies or procedures
  • Composes and/or transcribes letters and other documents
  • Receives and screens calls, messages, mail, email communications, and visitors
  • Answers or refers inquiries according to departmental procedures and policies
  • Coordinates meetings and arranges travel, lodging, events, equipment, and reservations
  • Prepares meeting notices, agendas, and minutes
  • Manages calendars and departmental schedules
  • Coordinates activities and prepares for meetings and events
  • Arranges complex logistical needs
  • Maintains timekeeping records and may function as timekeeper
  • Completes routine and priority tasks within established time frames
  • Maintains a clean, neat, and safe working environment
  • Inventories and orders accessories and supplies
  • Inspects equipment and arranges repairs while monitoring costs and replacement needs
  • Protects patient protected health information (PHI) and maintains confidentiality
  • Performs duties in compliance with departmental policies and local, state, and federal regulations
  • Completes mandated continuing education requirements
  • May orient new staff to the department/unit

Requirements

What you’ll need
  • High School Diploma or General Education Diploma (GED)
  • 1-year recent relevant experience
  • Written and verbal communications skills
  • Well-developed time management and organizational skills
  • Ability to prioritize assignments and work within standardized policies and procedures to achieve objectives and meet deadlines
  • Basic knowledge of Microsoft Office Suite (Word, Excel and Outlook), EPIC, and related information systems
  • Ability to interpret data and instructions in written, oral, diagram, or schedule form
  • Ability to work independently and as part of a team while accomplishing multiple tasks in an environment with interruptions
  • Ability to identify, evaluate and resolve standard problems by selecting appropriate solutions from established options
  • Ability to ensure the privacy of patients’ protected health information (PHI)
  • Ability to build and collaborate relationships with peers and staff members
  • Ability to exercise sound judgment and utilize developed administrative skills
