About the role

Key responsibilities & impact
  • Manage travel logistics or reimbursement processing for patients participating in assigned clinical trial projects
  • Collaborate with PCS Project Managers, the Patient Concierge Services Manager, and internal teams to understand study requirements and implement patient support services
  • Support new project setup, including mailbox creation, portal access, SharePoint folders, and study-specific documentation
  • Review and validate patient enrolment information and approve access to designated digital platforms such as PatientGO®
  • Serve as the primary contact for patient requests via app, email, or phone
  • Coordinate flight, train, accommodation, and ground transport bookings
  • Review, verify, approve, reject, or escalate patient reimbursement and stipend submissions
  • Communicate with patients and caregivers regarding logistics, reimbursement updates, and concerns
  • Liaise with clinical sites on reimbursement and patient travel coordination issues
  • Process patient payments, stipends, and travel confirmations
  • Manage allocation and tracking of patient payment cards
  • Maintain patient information, visit records, and service logs in real time
  • Assist with reimbursement submissions on behalf of patients
  • Identify operational gaps, share feedback, and support service improvements and internal initiatives
  • Provide data and updates for monthly financial reporting
  • Ensure compliance with patient confidentiality, GCP, data protection regulations, and company SOPs
  • Participate in client meetings, site initiation visits, and investigator meetings when requested
  • Stay current on tools, technologies, and processes related to patient travel and reimbursement coordination
  • Support internal team projects and initiatives for the PCS function

Requirements

What you’ll need
  • Experience managing patient travel logistics or reimbursement processing for clinical trial projects
  • Ability to collaborate with PCS Project Managers, the Patient Concierge Services Manager, internal teams, patients, caregivers, and clinical sites
  • Knowledge of study-specific Travel & Reimbursement Policies
  • Ability to use approved systems, travel providers, vendor platforms, digital platforms, email, and phone
  • Ability to review and validate patient enrolment information and reimbursement requests
  • Ability to maintain accurate patient information, visit records, and service logs in real time
  • Knowledge of Good Clinical Practice (GCP), data protection regulations, and company SOPs
  • Ability to ensure strict patient confidentiality
  • Ability to support financial tracking and monthly reporting
  • Equivalent experience, skills, and/or education will also be considered
