About the role

Key responsibilities & impact
  • Provide dedicated, highly skilled and diversified confidential administrative support to the Vice-President, Human Resources, Global Talent Management
  • Manage multiple tasks and meet deadlines
  • Prepare reports, presentations, invoices, correspondence, tables, charts and files
  • Schedule and organize meetings, including facilities, pre-mail, equipment and refreshments
  • Manage incoming enquiries and requests for information
  • Plan annual events, off-sites, town halls, employee appreciation events and conferences
  • Collect and track data; research information; sort and distribute mail
  • Schedule and organize travel
  • Manage calendars and create and maintain files
  • Prioritize and manage workflow while adapting to changing priorities
  • Identify and recommend improvements and investigate issues requiring resolution
  • Support executive teams and maintain a positive work environment
  • Keep executives and teams informed about project status and day-to-day activities
  • Support Roadshows preparation, including travel arrangements

Requirements

What you’ll need
  • College diploma and/or bachelor's degree or progressive work experience
  • Five to seven years of progressive support experience in financial services; experience supporting Human Resources leaders is an asset
  • Familiarity with branch based or multi-location operations
  • Proven experience coordinating efforts among field leaders, regional management and distributed teams
  • Ability to operate effectively in a fast-paced, high-volume executive environment
  • Exceptional clerical and administrative skills
  • Ability to work independently and within a team
  • Proven organizational skills
  • Excellent written and verbal communication skills
  • Demonstrated PC skills, including proficiency with spreadsheets, reporting tools and presentation software
  • Proficiency with MS Office, Word, PowerPoint and Excel
  • Ability to work with confidential information and exercise discretion
